DEFINITION
Under general supervision of an assigned supervisor, to perform a variety of routine, clerical-level duties involving the clerical processing of district accounting transactions in support of the fiscal services department; assist technical and professional accounting personnel in maintaining records and preparing District accounting reports; and to perform related duties as assigned.
TYPICAL DUTIES
Performs a variety of clerical accounting duties in general accounting, accounts payable, or other assigned areas.
Enters, revises, and updates data in a computer terminal or personal computer or by filing documents, forms, and other materials in appropriate files; maintains and reviews logs, spreadsheets, lists, rosters, calendars and other records for accuracy and completeness; composes correspondence from oral and written instructions.
Answers telephones, provides information concerning the activities or procedures of the assigned office, takes and relays messages, makes appointments, and schedules meetings.
Receives, reviews, and verifies invoices, claims, receipts, warrants, incoming monies, and other documents; reconciles discrepancies as directed.
Coordinates and monitors the departmental record management and retrieval process, including supervised responses to public requests for department financial information, organization of department records for long-term storage and retrieval, scanning and indexing of departmental documents into an electronic database, and assisting other district staff in resolving records storage issues.
Gathers and assembles financial data, records, and reports for District administrators.
Communicates with District employees, vendors, and members of the community to obtain, provide, and verify information.
Operates a variety of office equipment including calculator, computer and peripheral equipment, scanner, typewriter, copier, and others.
Assists supervisory and office staff with projects and clerical assignments as assigned.
Prepares and processes department purchase orders, supply orders, printing requests and other items; checks in and distributes office supplies and other materials; opens, sorts, and routes departmental mail.
Performs related duties as assigned.
DISTINGUISHING CHARACTERISTICS
The Accountant performs professional-level accounting duties and assures fiscal or statistical accountability for general accounting and finance for a complex District-wide program such as Nutrition Services, Categorical Programs and Special Projects, District Attendance Accounting or Personnel/Budgeting. This classification is distinguished from other technical and clerical accounting classifications by greater independence, responsibility and professional judgment exercised in applying accounting principles, preparing reports and resolving problems and by the size and complexity of the program or function served. Accounting Technician II is the advanced-level classification in this Accounting Technician series. Incumbents independently perform responsible duties of above average complexity, more difficult or problematic accounts payable/receivable or other assigned District-level technical and clerical accounting functions. Accounting Technician I is the experienced-level classification in this technical series. Incumbents perform responsible technical and clerical accounting duties of average complexity. Accounting Clerk is an entry-level classification, performing routine clerical-level duties involving the clerical processing of district accounting transactions.
EMPLOYMENT STANDARDS
Knowledge of: Simple financial record-keeping methods and bookkeeping terminology, principles and practices; commonly used computerized accounting and budget software, including spreadsheets, databases and reporting; correct English grammar and vocabulary; modern business office practices, procedures and equipment.
Ability to: Operate computer and peripheral equipment, typewriter, calculator, copier and others, including the use of pertinent business software applications (e.g. Microsoft Office); learn the Standardized Account Code Structure rules quickly; assist other accounting personnel in preparing and processing a wide variety of financial data; perform mathematical calculations with speed and accuracy; read, understand and apply basic accounting principles and procedures; collect, calculate, verify and reconcile financial data accurately; use good judgment in resolving problems, prioritizing work, and informing supervisor of actions taken; complete assigned work within established timelines; operate a personal computer and peripherals; establish and maintain cooperative and effective working relationships with others; communicate effectively both orally and in writing; operate a 10-key calculator by touch; work efficiently with constant interruptions.
Essential Physical Activities and Work Environment: Work is performed in an office setting, while sitting for extended periods of time at a desk or computer workstation. Needs sufficient visual acuity to read regulations, written records and reports and computer screens all day; sufficient hearing to comprehend ordinary conversation in person or on the telephone; sufficient clarity of speech to be understood when explaining concepts and regulations in ordinary conversations; physical ability to operate a computer; must have stamina to work overtime during peak periods and year-end closing; must be able to lift and carry 25 pounds to store and retrieve archived data in storage boxes. This job generally requires 50% sitting, 25% walking, and 25% standing.
Typical Background: Any combination equivalent to graduation from high school, preferably supplemented by course work in bookkeeping, accounting or related field, and one year of clerical experience utilizing word processing, spreadsheet and database software. Experience maintaining accounting or other financial records is desirable.
Qualifications: In order to be considered qualified for a vacancy in this classification, a candidate must possess the required background and successfully demonstrate such background, knowledge, skills and abilities through an examination process.
